When managing a club release, the inventory for all members to have the same products within a club release may not be available. It can happen to anyone and happens more often with smaller producers.


You can actually make that a benefit to your club members that they have access to limited production items. Hence, selections within a release may vary between members.


How do you handle a club release with items, within the release that do not have enough inventory on hand for the entire membership?


Club Release Example

Let's say you want Wine #1 to be in the release and you have 90 bottles. But there are 100 members in the club. Vinoshipper will not allow a club release to be created and will tell you there is insufficient inventory for the release.

  1. Update Inventory Quantities Beyond that which is Physically Available:
    1. Edit the inventory in Vinoshipper to having enough inventory for the entire club (in this example 100 bottles (knowing you only physically have 90)
  2. Release: Create the release
  3. Replace Orders with Insufficient Inventory with Replacements/Substitutions:
    1. Choose the number of orders you need to EDIT to remove the items you don't have and add the alternate selection(s) for the specific orders. (in my example, I have 90 bottles of wine #1 but 100 members. I would choose 10 of those club release orders to EDIT, one at a time, to change the #1 to wine #2 or whatever you want the substitution to be.)
  4. Correct Inventory Quantities:
    1. Edit the inventory that was previously edited and overstated, back to the physical inventory you have.


NOTES:
Release Management: The club release can be processed as usual.
Customizations: If members are allowed to customize their orders, the inventory limits for each product, will be in place and honored. This means the inventory will not be sold beyond the inventory stated in the product listing.
