Customer notes

Customer profiles track information two ways. Your team writes Notes by hand. Activities are recorded by the platform automatically, such as being added to a club or having a tag applied. Both are on the web platform and POS.

Notes

Notes are for the things worth remembering about a customer: a wedding anniversary, product preferences, an allergy. Each note records who on your team wrote it.

Add a note

  1. Click Customers > Customer List.
  2. Find the customer and click their name to open the profile.
  3. In the Notes block, click Add Note.
  4. Choose the Note Type: General, Club, Order, Referral, or Special Instructions. The type sets the icon.

    Note: Club notes show up on the club release orders page, and you can filter those orders by "With notes" or "Without notes".

  5. Enter the note.
  6. To make it hard to miss, switch on Highlight as an alert. That adds a red exclamation to the note icon and puts the note in the Alerts dropdown at the top of the profile.
  7. Click Save.
  8. To keep a note at the top of the profile, click the pin icon.

Edit a note

  1. Click Customers > Customer List.
  2. Find the customer and click their name to open the profile.
  3. In the Notes block, click the vertical ellipses on the note you want to change.
  4. Choose Edit.
  5. Update the note and click Save.

Delete a note

  1. Click Customers > Customer List.
  2. Find the customer and click their name to open the profile.
  3. In the Notes block, click the vertical ellipses on the note you want to remove.
  4. Choose Delete.
  5. Alerts ask you to confirm first. Regular notes delete right away.

Alerts

A note highlighted as an alert stays at the top of the customer profile. The red Alerts dropdown sits to the left of Actions — click it for a quick view of every alert, then click an individual alert to read it in full without leaving the page you're on.

Activity log

The activity log holds everything the platform recorded itself.

  1. Click Customers > Customer List.
  2. Find the customer and click their name to open the profile.
  3. To the right of the customer tabs, click More.
  4. Select Activity Log. Every platform-generated entry is here, with a timestamp and the team member who made the change.

Activities are view-only. They can't be edited or deleted.
