Wholesale accounts, discounts, and orders

Create wholesale customer account

Note: Once a customer account is converted to wholesale, you are not able to change it back.

New Customer

  1. Go to Customers > Add Customer.
  2. Fill in all the information for the wholesale/trade account. 
  3. Once created, click Customer type at the bottom of Customer Info.
  4. If a company name was not initially added, enter it now.
  5. Select the wholesale type.
  6. If applicable, select the default payment terms, or leave it as No Default.

Convert current customer

  1. Go to Customers > Customer List.
  2. Locate the customer you would like to convert to wholesale
  3. Click their name to view their profile.
  4. Under Customer info, click Customer type.
  5. If a company name was not initially added, enter it now.
  6. Select the wholesale type.
  7. If applicable, select the default payment terms, or leave it as No Default.


Wholesale/trade discounts

You can set up "Automatic" discounts for wholesale/trade accounts so accounts can buy directly through your webpage and have the appropriate discount applied. These discounts will also be applied if you use the process below.

To set up a discount for wholesale/trade accounts:

  1. Go to Products > Discounts & Fees.
  2. Click + New and choose Automatic Discount.
  3. In section 2 of the discount set up, select the Audience box, then choose Wholesale.
  4. Continue through the discount set up and click save. For more details on discounts, click here.


Place order

Note: Sales tax will not be charged on wholesale orders.

Internally via Place an Order

  1. Go to Orders > Place an Order.
  2. Add the applicable products to the cart.
  3. Add the wholesale/trade account by clicking on Customer Lookup.
  4. If necessary, add or adjust any discounts.
  5. Click Checkout.
  6. Enter a shipping address or select Customer will pick up.
  7. Choose credit card, cash, or invoice.
  8. If invoice is chosen:
    1. The previously set Default Payment Term will be applied.
    2. If there is no Default Payment Term, there will be no invoice due date.
    3. The due date can be changed on the order details page.
    4. Add Purchase Order details on the order details page by clicking Modify Order > Edit Purchase Order.
    5. Once the order has been paid, click Modify Order > Mark Invoice Paid

Wholesale/Trade account places order 

Wholesale/trade accounts can place their own orders when you have the Vinoshipper product catalog on your website. If you do not already have this in place, learn more here.

  1. Send the buyer to your website and they can make a purchase as if they are a normal customer. 
  2. Make sure any wholesale/trade discounts are set up. These will be automatically applied as long as they check out with the email address associated with the account.


Set up separate product catalog for wholesale/trade

If you would like to allow wholesale/trade accounts to place their own orders but need to limit which products they can purchase or have products that are only available to these accounts, take advantage of our custom product catalogs.

  1. Follow these instructions to create a new product catalog.
  2. Add only the products you are allowing wholesale/trade accounts to purchase.
  3. If you are adding products that are only available to wholesale/trade accounts, make sure you mark the products as "Hide on main catalog".
    1. Go to Products > Product List.
    2. Click the product name of the applicable product.
    3. Scroll to Product Settings and toggle on Hide on Main Catalog.
    4. Save the product. This will no longer show on your main product catalog, the one you are most likely using on your website.
  4. Send wholesale/trade accounts the link to this custom catalog or create a new webpage with this new catalog.
    1. Go to Products > Catalogs.
    2. On your new catalog, click </> Show code.
    3. To add it to your website, follow Option 1.
    4. For a link to the Vinoshipper hosted version of this cart, click the button under Option 2 and copy the URL.


Damaged or lost wholesale orders

Please email customerservice@vinoshipper.com to replace a damaged or lost order. We will place a replacement order and follow up with UPS.


Reports

These orders will be on the reports with the producer listed as the shipper and license holder.
